BookWriter™ Professional: Accounting Features

BookWriter Professional Accounting Features In addition to BookWriter's inventory, contact, wants, composition, upload and utility features, the program also offers versatile business accounting capabilities. These can be handled on a per-database basis and/or a multi-business environment, affording great flexibility and adaptability.

BookWriter's accounting system is extremely powerful, yet conceptually very simple. The primary components are Invoice management, Purchase Order management, Customer Management, custom Reporting system and various export capabilities to interface with external programs such as Quicken™ and Excel™. The Purchase Order system is a mirror image of invoices, so learning one makes you conversant in the other.

Every business situation is different so we've tried to provide a range of features that will address the majority of requirements, yet still be easy enough for a non-accountant to operate intuitively. The screen shots below will give you some idea of the capabilities we've built into our software. We invite you to contact us if you have questions not addressed here.
This is an example of BookWriter's Invoice dialogue. The multi-functional tabbed display places all required controls and features at your fingertips, including browsing, searching, editing, composition, printing, interaction with your stored records, and configuration. The dialogue can be resized as small or as large as desired. The Summary Tab shows all of the basic information describing a transaction.

The Merchandise tab provides details about the individual products in each invoice. Records can be selected in several ways: By entering the record number (if known), by browsing your records directly and clicking the SELL button on the Inventory record(s) in any order, by typing information manually, or any combination. You have a great deal of freedom in this respect. Invoices can be separately titled to allow meaningful sales grouping when sorting or reporting later on.

The Notes tab provides supporting information describing a transaction. This includes remarks (included on invoice or not at your discretion), any keywords that would be helpful during reporting, POS data (Salesperson, Entry Person, Last Update), and any private comments you might wish to enter.

The Preview tab provides an instantaneous display of your composed document. Note that the same information can be used to produce an invoice, a packing list, a shipping label, or a quote. Thus, you need only enter the information once and can re-use it however you may need in the future.

Note that all layouts are customizable and you are not restricted to using the "canned" layouts included with BookWriter. You could, for example, use a program like Microsoft FrontPage™ or Dreamweaver™ to create a customized graphical layout, which BwPro will then use to produce your documents. Separate layouts can be used for each type of document, selected in the SETUP section (see below).

The Invoice Setup dialogue shown below is designed to provide freedom with respect to configuring your documents to meet your particular business requirements. The Presets tab contains settings to automatically handle basic data manipulations, including insertion of "canned" text when creating new invoices, fixed settings such as Sales Tax, Invoice numbering, record updating options, and basic compositional parameters.

The Text tab provides functionality similar to that found in BookWriter Web, whereby tokens are used to represent individual pieces of information positioned in a layout. The information is subsequently intelligently inserted in the layout during composition to produce a structured document. The Text tab is used in close conjunction with the Page tab (see below).

The Page tab contains banner-construction features and the ability to select the desired templates and layouts for each type of document. Although you can create your own templates and layouts, BookWriter Professional comes equipped with a set of templates and layouts to produce a wide variety of styles and presentation formats.

The Preview tab provides an instantaneous view of the document when you make changes to any control or setting. This allows you to see what your changes will look like BEFORE you actually apply them. This is a very handy and time-saving feature.

Here is an example of a finished invoice, using the information shown in the preceding examples. Note that this is a very simple layout and a vast range of possibilities exist by using the features and controls provided in the SETUP section. Note also that you can CHANGE IDENTITIES at will by simply selecting a different set of compositional criteria. This allows you to manage multiple businesses all from a single, unified location.

The Custom Financial Reports Manager provides extraordinary flexibility to produce a wide range of report types and formats. Unlike other systems that restrict you to a handful of "canned" reports, you can create virtually any layout imaginable. You can save your formats and name them to recall later on, and/or modify them at will. Build your own library of reports that suit YOUR needs! You can also produce reports in delimited text format for loading the data into any common financial or spreadsheet program, such as Quicken™ or Microsoft Excel™.

Here is an entirely different report produced using a different group of settings. Note that the Business Identity was changed prior to running the report. This option is available in the Setup dialogue and amounts to clicking on the Change Identity button and then selecting the desired identity. All of the settings associated with that identity are then loaded into the program to become the "current" settings.

Here is a Net Worth Summary Report showing potential Profit/Loss of a group of purchased books. First, the books were priced and catalogued and entered into a BookWriter database. The report was produced by scanning the database to build a Hit List containing the desired book records, then selecting the Net Worth Summary Report option. Report production took less than 1 second on a slow computer. Note that the output was directed to the Document Editor so that the report could be edited and notated as required, then subsequently printed.
